What is SpendRegister?
SpendRegister is a company-level register for everything that renews or expires — software subscriptions, vendor contracts, assets, warranties and licences — organised by department. An escalating reminder ladder fires before each date and repeats until a person resolves the item, so nothing renews or lapses by accident.
How does the reminder ladder work?
Reminders go out 3 months, 2 months, 1 month, 1 week and 1 day before the renewal or expiry date. If the date passes without a decision, the reminder repeats every week until a human either renews the item or archives it. It never auto-renews and never gives up.
Does SpendRegister use AI?
Yes — but only where it saves you time. AI is available as an optional document-extraction add-on: upload an invoice, quote, contract or renewal notice and SpendRegister pre-fills the relevant fields for your review. AI never creates, updates or approves records automatically — every extracted value is reviewed and confirmed by a person before it's saved. Uploaded files are processed only for extraction, are never stored, and are deleted immediately after processing.
How much does it cost?
The free tier tracks up to 10 items with the full reminder ladder and year-over-year history, plus unlimited users and departments. One paid plan at $120 per year, billed annually, lifts the item cap and adds purchase-approval workflows. There are no per-seat or per-department fees.
Do you charge per user or per department?
No. Users and departments are unlimited on every tier, including the free tier. We never charge per seat or per department, and existing customers are never silently raised.
Can I export my data?
Yes. An owner or admin can export the whole organisation — items, spend history, reminders, approvals and the change trail — as a JSON file from Settings, any time. Your data is yours to take.
Where is my data stored?
Your register and account data are hosted in Singapore (Asia-Pacific). A few providers — email, payments, the optional AI add-on — may process limited data elsewhere; the Privacy Policy lists exactly who and what.
Can I cancel anytime, and who owns my data?
You can cancel whenever you like — you keep paid access to the end of the period. You own your data: we act as the processor, we never sell it, and we never train AI on the items you track. You can export it before you go.
